Executive, Laboratory Operations (Facilities & Infrastructure)

The Singapore Centre for Environmental Life Sciences Engineering (SCELSE) is a unique interdisciplinary Research Centre of Excellence (RCE), funded by National Research Foundation, Ministry of Education, Nanyang Technological University (NTU) and National University of Singapore (NUS). Hosted by NTU in partnership with NUS, SCELSE is linking new insights from the life sciences with expertise from emerging technologies in engineering and natural sciences to understand, harness and control microbial biofilm communities and microbiomes.

We are seeking highly motivated candidate for a Laboratory Operations (Facilities & Infrastructure) Executive position available at the Singapore Centre for Environmental Life Sciences Engineering (SCELSE). The successful candidate will be part of the Laboratory Management team, which oversees laboratory support operations, infrastructure and facilities management, and workplace safety & health, in this multi-disciplinary Research Centre of Excellence.

Responsibilities:

  • To respond to end-user’s complaint and feedback on infrastructure and faults in services promptly. Contact the University’s Fault Reporting Centre or external contractor(s), coordinate and follow-up on any faults or incidents relating to SCELSE’s infrastructure and facilities (e.g., central air-conditioning and exhaust systems, gas detection systems, etc…);
  • Is required to respond to breakdown emergencies in accordance to SOP, which may potentially occur over weekends and public holidays;
  • Liaise, coordinate, and follow-up with contractor(s) on the regular upkeep and maintenance of the workplace, which may include, but is not limited to, the ACMV contractors, cleaning contractor, pest control contractor, elevator contractor, cold room contractor, electrician, plumber, etc…Assist the HOD in monitoring contractor performance and ensure that work are carried out in accordance to the SLA;
  • Conduct regular site surveys, infrastructure inspections, and bump tests (for gas detection systems) as part of SCELSE’s preventive maintenance programme for its infrastructure and facilities. Follow up all findings with CAPA and close gaps, defects, or faults in a timely manner;
  • Procure and schedule maintenance and calibration services for handheld monitoring devices and equipment;
  • Render support to laboratory operations, which may include, but is not limited to, biohazardous and chemical waste management, in-house maintenance of core equipment (e.g., fridges and freezers), and monitor the usage and procure LPG cylinders, liquid nitrogen and dry ice to supplement supplies onsite; and
  • Any other duties and improvement projects as assigned by the HOD.

Requirements:

  • Minimum NITEC in Build Environment, higher NITEC in Facilities Management, or Diploma in an Engineering discipline;
  • At least two (2) years of relevant experience dealing with customers in a frontline/call center experience;
  • 1-2 years of relevant supervisory experience in facilities management is desirable;
  • Technical knowledge on ACMV and electrical systems gained through formal training or experience would be considered favorably.
  • Possess the ability to take initiative, multi-task, work independently and is motivated to work in a highly collaborative environment;
  • Highly motivated to learn and to seek continuous improvement, with the ability to adapt well and quickly to changes;
  • Good interpersonal and communication skills in a multicultural and international environment;
  • Hands-on troubleshooting knowledge/skills;
  • Proficient in written and spoken English; and
  • Proficient in Microsoft Office applications (e.g., Word, Excel and Access)

Executive, Graduate Studies

Hosted by NTU in partnership with NUS, SCELSE is linking new insights from the life sciences with expertise from emerging technologies in engineering and natural sciences to understand, harness and control microbial biofilm communities and microbiomes.

SCELSE is looking for a highly motivated Graduate Studies Executive.

Key responsibilities

1) Pre-admission

  • Provide routine correspondence on inquiries concerning SCELSE Graduate Program

  • Processing of applications for SCELSE Admissions Committee, interviews, maintain database of applicants and application status

2) Post-admission and all candidature related matters

  • Notification of student commencement, orientation, maintain databases and email listings

  • Course registration at NTU and NUS

  • Stipend payments and reimbursement of allowances

  • Training and conferences

  • Submission of progress reports

  • Thesis submission processes

3) Visiting students

  • Compliance with University and visa entry requirements when processing local and overseas students’ applications and payments when necessary, to ensure accountability in attending to visiting students’ administrative needs

4) Graduate Studies Office initiated activities e.g. Summer Course, Open House, Information Session

5) Ensure all documents are correctly filed and archived, for easy retrieval

6) Identify potential opportunities to work with others for better work efficiency

7) Any other ad hoc duties assigned by Department Manager

Requirements

  • Diploma/Degree in any discipline

  • At least 3 years of experience in student administration/administration in a higher learning institute is a must. 

  • Ability to interact in a professional manner with staff, students and the public

  • Excellent verbal and written communication skills

  • Be prepared to flexibly adapt to the diverse situations that arise

  • Able to work in a team and independently

Executive, Research Grant Administration

The Singapore Centre for Environmental Life Sciences Engineering (SCELSE) is a unique interdisciplinary Research Centre of Excellence (RCE), funded by National Research Foundation, Ministry of Education, Nanyang Technological University (NTU) and National University of Singapore (NUS). Hosted by NTU in partnership with NUS, SCELSE is linking new insights from the life sciences with expertise from emerging technologies in engineering and natural sciences to understand, harness and control microbial biofilm communities and microbiomes.

SCELSE seeks a Research Grant Administration Executive who will be responsible to provide effective administrative support in research-related matters to assist faculty and researchers in SCELSE, enabling pro-active and efficient operation of the Centre’s grants and other funded projects. Efficient research administration requires a broad knowledge base that spans across diverse domains, including Human Resource, Finance, Procurement, Legal and Graduate Education. A good research administrator is one who has an astute understanding of the policies and procedures of these domains, be able to connect parties within these domains and provide solutions in supporting faculty, researchers and domain personnel in the administration and management of research projects.

Key Responsibilities:

The roles and responsibilities for the Research Grant Administrator will mainly be supporting the Corporate Services Director in the following matters:

  • Disseminate grant call information and assist faculty and researchers in their grant application submission by providing administrative support and ensuring compliance with requirements of funding agencies.

  • Support post-award administration including assisting faculty and researchers in research account set up, budget phasing, manpower related activities, and other matters in accordance to university processes and policies.

  • Coordinate and liaise with funders and collaborators on grant award; contractual-related matters, preparation of regular status reports on research grant submissions and awards; administering project variation requests, project progress reports etc.

  • Manage research information and database entries in research management systems in consultation with faculty and researchers; Human Resource; Finance; Procurement; Research Support Office; and other relevant departments in NTU.

  • Other ad hoc related activities that may be assigned by the Corporate Services Director.

Requirements:

  • Bachelor’s degree or Diploma qualification with relevant working experience.

  • Prior experience in grant administration will be an advantage.

  • Prior experience in project and financial management skills would be an advantage.

  • Initiative with good organizational skills.

  • Good communication and interpersonal skills.

  • Meticulous, resourceful, and able to work independently.

  • Customer-service oriented with a positive work attitude.

Assistant Manager, Student & Academic Services

SCELSE is looking for a highly motivated individual to join us as a Assistant Manager, Student & Academic Services.

Responsibilities

  • Provide leadership and efficient coordination of activities in the SCELSE Graduate Studies (GS) department.
  • Ensure the compliance of the Universities’ (NTU & NUS) and SCELSE’s policies in student admission and candidature matters.
  • Ensure the smooth running of the overall operations and effectiveness of SCELSE administration in the Graduate Studies Office by:
  • Aligning SCELSE’s graduate program policy with the Universities’ guidelines and regularly reviewing it with proposals to ensure relevance.
  • Working closely with NTU, NUS and other academic units on graduate students and other student matters.
  • Reviewing and monitoring standard operating procedures constantly to suit operational needs.
  • Supervising GS officer(s) in operations concerning SCELSE Graduate Program and all student matters, including PhD students, undergraduate interns, polytechnic interns, and visiting students (local and international).
  • Supporting and coordinating the development of joint graduate programmes and student activities with other universities
  • Recommend or propose to Governance & Corporate Services Director of the projected budget of yearly expenditure to be incurred in the Graduate Studies Office, which includes thorough comprehension of the financial matters, e.g., stipend rates of students, concerning the SCELSE PhD program.
  • Overseeing the student outreach matters for SCELSE Graduate Programme at NTU and NUS and being the central coordinator for such matters.
  • Secretariat for SCELSE’s Admissions and Postgraduate Education Committee meetings
  • Ensure that key recommendations and discussion points are well recorded to take into account the Committees’ recommendations and applied with the intent to improve processes/quality of graduate education.
  • Other duties as may be required from time to time

Requirements

  • Degree in Administrative Management / Administration or any related studies
  • At least 5 years of experience in student administration/administration in a higher learning institute.
